The Opportunity
The Operations Executive – Projects is responsible for the operational execution of the projects assigned to them, including managing bookings, coordinating shipments, documentation, invoicing and ongoing communication with customers to ensure the success of projects and customer satisfaction.
What You’ll Do
Coordinate booking openings and manage shipment scheduling with relevant stakeholders.
Oversee the operational management of shipments, including coordination with customs and regulatory authorities.
Prepare and manage all required travel and shipping documentation in line with project and regulatory requirements.
Handle active invoicing, ensuring accuracy, timeliness, and alignment with contractual terms.
Manage ongoing correspondence and communication with customers throughout the sales and project lifecycle.
Work closely with internal teams to ensure alignment between client expectations and project delivery capabilities.
Maintain accurate records of all sales and operational activities, including sales calls, presentations, shipments, and closed deals.
Prepare regular operational reports and forecasts to update management on progress and opportunities.
What We’re Looking For
Proven experience in an operations department or a related role, with a focus on projects.
Understanding of the oversize and breakbulk project logistics industry.
Fluent in English both writing and speaking.
Proficiency with Microsoft Office suite (Excel, Word, Outlook, and PowerPoint).
Experience with Cargowise operating system is preferred.
Good knowledge of project logistics operations, including transportation, warehousing, and supply chain management.
Excellent communication and negotiation skills.
Strong socializing abilities and smart conversation.
Ability to work independently and as part of a team.
Strong problem‑solving and decision‑making abilities.
