OverviewGrant & Administrative Officer role at Rombo AI. We are ROMBO AI, a young company with extensive experience in AI, specializing in spectral analysis using magnetic resonance with proprietary and patented algorithms. We prioritize human relationships and intellectual freedom, aiming to build a company with high talent density, inspired by the “no rules rules” culture.Role DescriptionAs a Grant & Operations Officer, you will have a hybrid role that combines strategic support in funding and project management with hands-on operational coordination. You will help secure and manage public grants, streamline administrative processes, and take care of day-to-day operations to keep the company running smoothly. This position is ideal for someone proactive, organized, and capable of taking ownership — someone who can make things happen and help the CEO stay focused on growth and innovation.Main ResponsibilitiesFunding & AdministrationIdentify and manage funding opportunities (EU, national, and regional programs such as Horizon Europe, PNRR, POR, etc.)Draft and submit grant proposals, business plans, and project documentationManage administrative and financial reporting: contracts, expense tracking, compliance, and timelinesInterface with partners, consultants, and funding bodiesOperations & Executive SupportHandle operational activities such as travel organization, flight and hotel bookings, and logistics for the teamManage company bureaucracy: medical checks, contracts, renewals, suppliers, and document filingSupport the CEO in daily operations and communicationsCoordinate small internal projects and ensure smooth company workflowsBe the go-to person for “getting things done” efficiently and autonomouslyQualificationsMaster’s degree in Economics, Management Engineering, Law, or related disciplines2–3 years of experience in project management, fundraising, administration, or operations within startups or consulting firmsStrong knowledge of public funding frameworks (EU, national, regional)Excellent organizational and problem-solving skills, attention to detail, and discretionFluency in Italian and English, both written and spokenConfident with tools like Excel, Google Workspace, and online platformsSelf-starter mindset, comfortable working in flexible and fast-changing environmentsWhat we offerContract: permanent position or freelance collaboration, depending on profileLocation: hybrid (Cagliari) - No REMOTEWork environment: flexible, humane, and trust-based (no rules rules)Autonomy: direct collaboration with the CEO, real decision-making freedomContinuous learning: access to training on funding, operations, and managementCareer growth: evolve toward Operations Manager or Chief of Staff rolePerks: birthday day off, food voucher, on-campus kindergartenReferrals increase your chances of interviewing at Rombo AI by 2xGet notified about new Administrative Officer jobs in Cagliari, Sardinia, Italy.
