Overview
The ideal candidate is a detail-oriented team player who will be the first point of contact for visitors at the office, greeting them in a polite and well-spoken manner. You will also be assigned duties as required (i.e. organization of inbound and outbound mail, administrative work, and general clerical support).
Responsibilities
Greeting and welcoming visitors, providing information and escorting them to the appropriate department or person.
Answering and directing incoming phone calls, responding to emails, and taking messages;
Managing calendars, scheduling and confirming appointments for individuals or meeting rooms;
Monitoring visitor logs, issuing security passes, and ensuring the efficient flow of people through the business;
Filing documents, maintaining electronic databases, and keeping office records up-to-date;
Maintaining the cleanliness and organization of the reception area, and ensuring efficient daily operations;
Stationery orders and various needs;
Bring coffee to visitors and set up meeting rooms;
Support in organizing events / meetings and their execution;
General administrative support.
Required Competencies and Knowledge
High school or professional diploma;
Minimum 1 year experience in similar role in a structured company;
Excellent knowledge of Microsoft Word, Excel and Outlook for data management and communication;
Excellent proficiency in Italian and English language (written and spoken).
