Pharmalex is one of the leading service companies for the Pharmaceutical Industry globally and is specialized in all aspects of drugs and medical devices approval, of the market development and any action of effective product maintenance.ResponsibilitiesActing as interface between Pharmalex’s VDCs, administrative departments (e.g. Finance, local, global, affiliates), and external consultantsTrack projects and budgets to assist with management of project workloadDevelopment, implementation, and streamlining of processes (PLX internal and towards customer)Oversee project handoff activities from Sales including, but not limited to, project set-up on internal systems, kick-off, control and release of clientIntercompany invoicing, budget tracking and controlling, onboarding / offboarding of staff, KPI set up, etc.Monitor and ensure project deliverables are completed within agreed timeline and budgetIdentify scope changes or change orders / extensions required for current projects and collaborate with the Account / Project Manager to manage accordinglyDevelop proficiencies on local systems and serve as point of contact for team inquiries; provide training on local systems as neededOversee and manage timely review and approval of employee / consultant time entries on a weekly / monthly basisMonitor employee / consultant utilization across assigned team, assess staffing for current month + next three months, while also monitoring project timelines, and collaborate with the Team Lead to manage accordinglyIdentify opportunities to engage additional employees / consultants to meet project needs and accelerate project timelines (e.g., move phases in parallel where possible)Work within Operations to identify ability to cross-utilize employees / consultants for billable work and business development assistanceIn the context of project support :Coordination, monitoring and preparation of project controlling and reporting; keeping an eye on the overall budgetActively informs the Account / Project Manager about potential discrepancies on budgetDevelopment & maintenance of supportive tools if relevant for Budget, KPI and in scope activity tracking, supervision and controllingSupport the tracking and reporting of set out targets (KPIs)Initiates the control / closing / opening / rebooking of times within work packages in PLx Time tracking & Accounting SystemMaintenance of program related projects in PLx Time tracking & Accounting System from operative point of viewUpdate Salesforce in case of deviations / change orders within an approved projectSupports the onboarding / offboarding of resources (internal and external) as instructed by the Account / Project ManagerKeeps the overall reporting results transparent to the Account / Project ManagerPrepares the monthly / quarterly financial statement or timesheet so that a customer invoice can be issued on timeSupport of Project Management, in all relevant and delegated topics, including communication with clientsYour Profile / Qualifications5+ years of proven profound experience in project management and coordinationProfessional degree in Sciences or Economics or equivalent combination of education and experienceAbility to discuss and align mid- and long-term departmental goals.Ability to translate strategic goals of partnerships / customers or internal projects into tactical goalsAbility to lead extensive project and process reengineering activities and provide consultation related to change managementHigh affinity to work with complex business processesStrong ability to adapt flexibly to changing project conditions and open to change management processesStrong ability to analyse processes: adapting, streamlining, and increasing efficiency of processesCapability of supervision, prioritisation, and processing of parallel projects and tasksExcellent team player, empathic skillsComplex problem solving, strong understanding of businessStructured, analytical, systematic, and independent mannerAutonomous, concentrated, and high-quality workVery good written and spoken communication skills with internal and external customers, stakeholders, colleagues, and supervisorsExperienced user of the MS-office packages, ERP-, project management and database-systemsVery good command of EnglishAgencies only by prior agreement for the specific job opportunity.
