Job Opportunity: Personal Assistant in Nicosia

Main Duties and Responsibilities
Providing calendar management and support for the Executive Management, prioritizing inquiries and requests, troubleshooting conflicts, and making recommendations to ensure smooth day-to-day engagements.
Acting as a liaison and providing support, arranging, and handling all logistics for executive meetings and events, such as scheduling meetings and distributing presentation materials.
Serving as the primary point of contact (personal, by phone, or by email) for internal and external parties on matters pertaining to the Executive Management, including highly confidential or critical issues.
Working closely with the Executive Assistant and Management on upcoming commitments and responsibilities, following up appropriately.
Keeping the Executive Management informed of relevant matters in the environment.
Coordinating the Executive Management’s outreach activities with the Executive Team.
Following up on contacts made by the Executive Management to cultivate ongoing relationships.
Preparing various events in cooperation with the Executive Assistant and other departments.
Safekeeping of confidential documents and maintaining a complete filing system.
Organizing and maintaining the office filing system.
Supporting travel arrangements, visas, and accommodation for the Executive Management in cooperation with the Group’s Travel Coordinator.
Other projects and duties as assigned for the overall benefit of the organization.
Candidate Profile
University degree; Master’s degree is an advantage.
At least 2 years of experience in a similar role.
Significant executive support experience, including supporting C-level executives.
Flexibility regarding working hours based on the needs of the position and the Executive Management.
Strong ability to work with a diversity, equity, and inclusion lens.
Proficiency with Microsoft Office and desktop publishing software.
Exceptional organizational skills and attention to detail.
Professionalism in dealing with diverse groups, including Board members, senior executives, staff, community leaders, customers, and vendors.
Ability to prioritize and make informed decisions regarding workload.
Capacity to complete high volumes of tasks with minimal guidance.
React appropriately to urgent situations and events.
Maintain high integrity and discretion with confidential information.
Ability to adapt quickly and switch gears as needed.
Effective written and verbal communication skills in Greek and English.
