This role involves direct interaction with clients, partners, and internal stakeholders. Success requires precision, strong organizational skills, and clear communication. You’ll also coach and mentor junior team members, helping elevate team performance.What you'll be doingReviews and processes offers and requests, ensuring compliance with guidelines and rules set in placeTracks and reports status of all incoming requests to sales teams, updating in a timely mannerReceives and reviews customer & client manager requests to ensure accuracy and completenessEnters client requests & offers into the system and track their progress throughout the fulfilment processMay be required to generate offers based on approved quotes, ensuring accuracy of pricing, discounts, and termsMay be required to verify client information and addresses discrepancies if neededEnsures that customer offers (and if required invoices) align with contractual terms and pricing agreementsCollaborates with cross functional teams to address any order discrepanciesCommunicates with customers or relevant internal stakeholders regarding offer statusAddresses customer and/or internal stakeholder inquiries and resolve concerns in a timely mannerMaintains accurate records of customer offersMay work with internal stakeholders to update customer profiles and relevant information in the systemEnters order details accurately into the system and update relevant databasesEnsures all necessary information is captured for accurate reportingConducts quality checks on orders to prevent errors and discrepanciesEnsures all documents and data are complete and accurateDistributes monthly booking reports and status of orders, including a report of all found order issues in order to inform relevant stakeholders May assistOrder Management Manager with additional reports and assignments as neededWhat you'll bring alongFluent in English and French or DutchMinimum 3-5 years of experience in a similar roleSkilled resources who completes tasks in resourceful and effective waysWorks on assignments requiring considerable judgment and initiativeAttention to detail and accuracy in processing ordersStrong communication skills for interacting with customers and cross-functional teamsProblem-solving abilities to address order discrepanciesOrganisational skills to manage multiple orders and tasks simultaneouslyProficiency in Microsoft Office applications, especially ExcelCustomer-focused mindset with a commitment to providing excellent serviceAdaptability to changing priorities and a fast-paced environmentFamiliarity with using CRM tools for client follow-up and reporting is considered a plus.
