Junior CMA EMEA Administrative Assistant
The Junior Clinical & Medical Affairs (CMA) EMEA Assistant will assist with CMA administrative duties across the EMEA countries. The role will facilitate HCP interactions and Medical Education Grants in line with Teleflex Compliance Policies, planning, submitting, and following up on HCP interactions for education courses and consultancy. The assistant will ensure all interactions are processed in adherence to Teleflex compliance policy and the Medtech ethical code of business.
Principal Responsibilities

Plan and input HCP interactions for Education and Consultancy events for EMEA into the online HCP interaction portal.
Manage the IT platform for contracting consultants at every stage of the process.
Submit, assess Fair Market Value (FMV), allocate HCPs, statement of works and generate Master Service Agreements for HCP interactions in line with Teleflex HCP Compliance policies.
Support CMA, Marketing & Commercial team with planning and executing HCP interactions in line with Medtech Code of Ethical Compliance regulations.
Support Medical Education Grants (MEG) submissions and liaise with business divisions to ensure appropriate documentation for the MEG panel.
Produce Letters of Agreements for MEG and assist MEG panel to achieve Medical Education Grant Integrity code policy if required.
Produce necessary audit reports for the Teleflex Compliance Department.
Analyse office‑management and administrative problems and devise workable solutions.
Read, understand, apply, and explain standards, policies and procedures.
Recognise problems and devise effective course of action.
Establish and maintain effective working relationships with peers, vendors and customers.
Complete administrative duties: scheduling appointments, coordinating meetings, booking travel, maintaining calendars, ordering supplies, creating expense reports, maintaining files, and preparing correspondence and reports.
Meet deadlines; work independently with appropriate supervision.
Work effectively under stress and in emergency situations.
Review HCP invoices & expenses for accuracy against sign‑in sheets and input into payment reconciliation on the system.
Maintain accurate records and follow up on paperwork/contracts for professional programs.
Edit PowerPoint presentations as directed.
Log and track HCP contracts and paperwork, following up as appropriate.
Collaborate & communicate effectively across CMA, Marketing & Sales team while remaining compliant with Teleflex HCP policy and legal education requirements.
Other assigned duties and responsibilities as required by CMA objectives.

Education / Experience Requirements

Excellent oral and written communication skills with a demonstrated ability to interact effectively with individuals at all levels in the organisation.
Accurate typing and data entry skills required.
Proficient in Microsoft Office with emphasis on Word, PowerPoint, Excel and Outlook.
Experience of using computer online systems and data inputting.
Strong attention to detail required.
Exhibits strong time‑management and organisational skills.
Post may require some travel abroad.

Specialised Skills & Other Requirements

Essential fluency in verbal and written English; ideally Italian native speaker.
Knowledge of another European language will be considered a plus.
Previous administrative management experience will be considered a plus.
