Position Summary
The Central Office Administrative Assistant (full‑time year‑round position) provides executive‑level administrative support to the Superintendent, Board of Education, and central office. In addition to supporting executive leadership, the role oversees internal student accounts and assists with Human Resources functions, including onboarding of new staff and workers’ comp claims. This position not only manages daily operations of the Superintendent’s Office but also plays a critical role in board governance, compliance, state and federal program support, and district‑level coordination.
Key Responsibilities

Collaborate with the Superintendent and Board President to plan, prepare, and distribute meeting agendas, packets, exhibits, and supplementary materials.
Publish and post required public notices, coordinate venue logistics, and ensure compliance with the Open Meetings Act and district policy, including updates with NEOLA policy representatives.
Attend board meetings, record minutes, follow up on action items, and serve as a point of liaison between the Board and district staff.
Maintain official board records and policy manuals, ensuring compliance with accessibility and public inspection requirements, including FOIA.
Serve as primary administrative support to the Superintendent: scheduling and calendar, correspondence, prioritizing requests, maintaining confidential files, coordinating travel, and screening communications.
Manage overall office operations for the Superintendent’s office, including filing, policy updates, internal systems, and general workflow.
Act as liaison and representative for the Superintendent in communication with staff, community members, and external agencies, handling inquiries and facilitating timely responses.
Oversee state/federal grant compliance and reporting.
Assist with HR support tasks: employee contract negotiations, onboarding new hires, maintaining personnel files, coordinating with payroll, benefits, and managing workers’ compensation documentation.
Lead or contribute to special projects, data analysis, research, and executive tasks as assigned by the Superintendent.
Perform other duties as assigned by the Superintendent.

Qualifications

An Associate’s degree is required.
Minimum 10+ years of progressively responsible administrative experience in an educational, governmental, or nonprofit setting (or comparable). Preference for 3+ years working as an assistant to the CEO/President/Superintendent.
Proven record of exercising discretion, judgment, and maintaining confidentiality in handling sensitive matters.
Advanced proficiency in Microsoft Office Suite, Google Workspace (Docs, Sheets, Drive, Gmail), and comfort with learning/using SIS/ERP systems (e.g., PowerSchool, MUNIS) or equivalent.
Exceptional organizational, analytical, and multi‑tasking capabilities; able to manage deadlines and competing priorities.
Outstanding written and verbal communication skills, with the ability to draft correspondence, reports, and public materials.
Strong interpersonal and relationship‑building skills; ability to interact effectively with staff, Board, community stakeholders, and external agencies.
Familiarity with Michigan K‑12 reporting systems and legal requirements.
Ability to work some evenings and weekends as needed.
