Offerta
Key Responsibilities

Act as the first point of contact for visitors and incoming calls, ensuring a professional and welcoming environment
Manage meeting room bookings and coordinate logistics for internal and external meetings
Oversee office supplies, vendor orders, and inventory management
Support travel arrangements, catering, and company events
Handle expense reports, invoices, and provide general administrative support
Assist with onboarding processes, including workstation setup and welcome materials
Maintain document filing systems and support compliance-related documentation
Coordinate access badges, visitor logs, and office security protocols
Collaborate with HR and other departments on internal communications and events
Support basic IT coordination and hardware/software requests
Manage meal voucher calculations and orders
Assist employees with travel booking systems (e.g., Egencia) and expense platforms (e.g., Concur)
Oversee the company car fleet logistics for employees
Prepare periodic reports on administrative activities and office-related costs

Competenze ed esperienza
Requirements

Proven experience in administrative, office coordination, or executive assistant roles
High school diploma required; additional certifications in administration or secretarial studies are a plus
Experience in international or structured corporate environments preferred

Strong organizational and multitasking abilities
Excellent communication skills, both written and verbal
Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint)
Problem-solving mindset and ability to work independently
