Purpose of the jobTo analyse the current and future operational processTo document themTo control that the documented process are well known by each operation member and that the process is correctly applied
Summary of responsibilitiesAnalysing current business processTo analyze the current business process and proceed to in depth data analysisTo identify areas for improvementsTo documentation these processes with detailed Work Breakdown Structure (WBS), detailed process mapping (Business Data Modelling), Standard Operating Procedure (SOPs) and workflows diagramsTo use key Lean management tools to proceed for analysis and identification of the obstacles, inefficiencies and opportunities for improvementWork with Terminal Operation System (TOS) Super User to identify the gaps between the system and the operational process.Process optimizationDeveloping and implementing optimised processes and procedures to enhance efficiency, productivity and customer satisfactionCollaborating with stakeholders to design and execute process improvement initiatives aligned with organisational goalsMonitoring and evaluating the effectiveness of implemented process changes, measuring key performance indicators and making necessary adjustments for continuous improvementTo identify and support any upcoming new operational opportunity or new regulation impacting the operations and proceed for gap analysing to identify the changesKeep looking for business improvementIdentify and secure several Point of controls in the operational processFocus on data integration, work with different type of Stakeholders in order to support secured digitalization of the process, Ensure that all communication flow is properly documented.Change managementCollaborate with cross-functional teams to implement process changes, ensuring smooth transitions and minimal disruption to operationsCommunicate with shareholders and stakeholders to ensure alignment on proposed changes. Anticipation is mandatoryProvide training and support to team members on new processes and best practicesMonitor process audits and evaluate the effectiveness of implemented process changes, gathering feedback and making necessary adjustmentsWork with TOS SU to ensure proper adaptation of the process in the TOS / Dry Run and track all changes management request delivery and status.Project managementSupport any operational projectSupport systems Migration projectsSupport other Terminal operational teams if required. Maintain a knowledge sharing network, best practices with HQ and the other terminals of the groupBenchmark on industry trends and process improvementEducation & ExperienceBachelor’s degree in business administration, management or a related fieldexperience in business process analysis and project managementWorking knowledge of Incident/Problem/Change Management frameworks such as ITIL v3, TQM or ISO 9000:2000.Technical Skills & Knowledge RequiredRelevant certification in business process management or a related fieldWorking knowledge of process improvement methodologies, such as Lean / Six Sigma is preferredFamiliarity with process mapping and modelling techniquesStrong analytical skills with the ability to collect, study and interpret complex dataProficiency in Microsoft Office suite, including Excel, PowerPoint and VisioExperience in project management and change managementKnowledge of logistics industry regulations and standardsExperience in change management methodologiesFamiliarity with data analytics and visualisation tools.Behavioral Competences RequiredAbility to manage and perform multiple complex tasks as part of the daily work assignmentStrong communication and presentation skills to effectively communicate process changes and recommendations to stakeholders at all levelsMust have a “Devil is in the details” mindsetLanguage RequirementsFluent spoken and written English is a mustThis job description may not be inclusive of all assigned duties, responsibilities, or aspects of the job described and may be amended at any time at the sole discretion of the Employer.HHLA-PLT is an equal opportunity employer.
