Brand Experience Project Coordinator (Global Sporting Event) - Italian/English SpeakingThe Brand Experience Project Coordinator will support the planning and delivery of our client’s brand experience through overlay and merchandise programmes. Developing brand experiences, venue fit-outs, uniforms and gifts in line with our client’s aims and bringing their brands to life across a variety of touch points, delivered as part of our client’s activation programmes.This role requires an individual with strong project management skills, excellent attention to detail and good communication skills. We are looking for someone currently residing in Milan and can start immediately. This will be a contract role until March 2026.Key ResponsibilitiesSupport (and lead at times) in design and detailed planning of the project and strategies for deliveryWork with the Client to understand in detail the project requirements and scope and ensure all information and operational planning documents are kept updatedUpdate all itineraries, briefing documents and communications to the Brand Experience, Design and Merchandise teams as and when changes occurWorking with Brand Experience, Design, Merchandise and other parts of operations department to plan and manage all aspects of client project including FB and logistics.Managing internal iLUKA team where required including effective delegation of tasksDevise and manage project timeline, reviewing critical path and deadline dates to ensure timely delivery of all project elements, as well as advising the Client on deadlines in timely manner.Develop and manage relationships with the Client and the Organising Committee, including managing approvals.Develop and manage relationships with suppliers including supplier research, procurement, contracting, scope development and cost controlDevelop guest experience in line with Client aims and local market knowledge pre event, and actively manage the guest experience onsite including management of installation in line with design intent and critical path/timelineDevelop training/operational manuals to ensure team has thorough knowledge of all procedures.Oversee all aspects of operational delivery including management of any logistics required to support the project.Understand local taxes and regulations, to ensure compliance.Budget management and reconciliation.Provide regular reports for iLUKA relationship management.Adhere to professional confidentiality standards, company policies, procedures and practices, maintaining the highest level of integrity regarding client management, and confidential information at all timesSkills, Knowledge, ExpertiseFluent in Italian and EnglishProven experience in a hospitality, merchandise and/or brand experience project management roleSignificant project management experience including client management and delegation of tasks to a wider teamStrong time management and organisational skills with ability to meet strict deadlinesExcellent client liaison and relationship skillsAbility to delegate effectively and a willingness to lead by exampleAdvanced IT budgetary skillsProactive, positive approach to all tasks and a high degree of reliabilityAttributesHigh energy, comfortable working potentially long hours in a demanding but rewarding and friendly environmentFlexible, enthusiastic, confident, outgoingWilling to roll sleeves up and get involvedPassionate about sport, hospitality and deliveryAble to work in a calm, kind and professional manner in a pressured environmentAbility to prioritise a demanding workload
